Divisionals Visitor Guide

THIS DIVISIONAL VISITOR GUIDE IS SUPPLEMENTAL TO OUR REGULAR DUAL MEET VISITOR GUIDE. Please review our Visitor Guide for additional information about visiting our pool.

Our Setup Areas page has diagrams showing team areas, deck and clubhouse and location of key areas.

VISITING TEAM ASSIGNMENTS: Since Wellington hosts the Division Championship meet every year, in this guide, we do not identify visiting teams by name, but by designating a Team A and a Team B. In advance of any necessary time needed to plan for your volunteers, etc. we will communicate which visiting team is "A" and which is "B". These designations remain the same across all meet guides, instructions and information. 


GENERAL DIVISIONAL MEET INFORMATION

WARM-UPs: The Division meet starts at 7:15 A.M. Warm-ups are 20 minutes for each team. Wellington has the first warm-up at 6:00, and the visiting teams warm up at 6:20 and 6:40. The pool is cleared at 7:00.

RELAY LANES: All teams are welcome to enter up to three relay teams (A, B, C) per relay event. Relay lane assignments remain the same throughout the meet. Wellington has lanes 1, 4, 7; Team A 2, 5, 8; Team B 3, 6, 9.

DIVISIONAL MEET PROGRAM: The meet program is released to the SwimTopia App for Pro subscribers. On our website, we publish the Divisionals version of our Meet Program. This Program acknowledges Sponsors, special kudos and Senior/Last Splash from all teams (as requested). If your team has content to include, no less than 10 days before the Divisionals meet, submit your content to our program lead at [email protected]. All content must be submitted to Silvia in .PDF format, a single file per each 8.5x11 page fully proofed, formatted and ready to go. Silvia cannot edit, format, convert file formats, etc. If you are unsure, please feel free to reach out to her. If there are circumstances that limit your ability to submit 10 days before, email Silvia to discuss alternate options.

A copy of the program is provided to visiting teams NLT Friday before the meet, and we ask this copy of the program be socialized through families and published on your website to promote all senior swimmers and any other additional program content.

MEET REPORTS and COPIES: The Visiting Team has access to the meet reports through their computer representative. Wellington prints and supplies a limited number of Meet Sheets for Officials, and our area Leads. Please plan on printing out any reports your coaches or any others from your team that may need them.

DIVISION COMMEMORATIVE T-SHIRTS: Wellington shares T-Shirt information including pricing, deadlines and links to online stores to order. If your team has plans to do your own shirts or has any requests to collaborate on the shirt provided for the Division meet, please reach out to our PWSL Rep as soon as those decisions are made early in your season.


DIVISIONAL VOLUNTEER NEEDS

VOLUNTEER SHIFTS: For Divisionals, Wellington runs three shifts. Shift 1: 7:15 - 9:15AM; Shift 2: 9:15-11:15; Shift 3:11:15 to End

OFFICIALS and EQUIPMENT: Please bring as many Stroke and Turn Officials as possible as well as your starting equipment. Since we have a 10-lane pool, we use quite a few 

S&T Official assignments are determined prior to the meet. Head Officials contact the Head Wellington Official to coordinate. Each team brings your starter machine fully charged. Two will be used to start and the third as the backup.

In order to start the meet on-time at 7:15, the Officials meeting is conducted at 6:30 A.M. in the Clubhouse. Officials can take their rotation breaks in the Clubhouse in the air conditioning. We also provide a complementary meal.

CLERK of COURSE: Our CoC area is set up inside and around the baby pool area. Each visiting team provides 3 Volunteers per shift. To assemble swimmers for the first Individual event, CoC Volunteers for Shift 1 begin at 7:00 a.m.

COMPUTER TEAM: For Computer Operations, Wellington provides 2 laptops for data-entry, and one tablet-style laptop for use during data entry verification. Visiting teams bring at minimum, your laptop and printer. Please bring any additional laptops you can provide for data-entry or verification.

Wellington asks the Visiting teams to handle printing of the Meet and PWSL ribbon labels starting at the 2nd shift. Wellington provides the labels, but please bring your supply as well.

Visiting Team Volunteers for Computer Support: In addition to your Lead, visiting teams provide 6 computer volunteers per shift to be used as described below. 

  • Computer Lead +1 volunteer per shift for data entry assistance
  • 1 volunteer per shift for DQ processing (identifies DQ matching to Timer Sheet, and Codes) (Wellington provides 1)
  • 2 volunteers per shift for Verification (3 teams of 2 confirming Timer Sheet times vs. Times entered in computer) 
  • 2 Heat Ribbon distributors per shift (Wellington covers Shift 1, Visiting Team A covers Shift 2, Visiting Team B covers Shift 3) Heat Ribbon Volunteers attend the Timers and Recorders Meeting before the start of the meet.

RIBBONS: We do not start assembling award ribbons until the second shift and ask for 3 Ribbon volunteers per Visiting team to begin at 9:15. Wellington provides all the ribbons and the labels. (Because Heat Ribbon distribution begins during the first shift, those volunteers work as part of the computer team as discussed above.) 

TIMERS and RECORDERS: For each shift, all teams provide 10 Timers, and 3 (or 4) Recorders as follows: 

Timers are 1 from each team per lane each shift. Recorders are 3 per shift per team +1 extra per team, rotated through 3 shifts. For all 3 shifts, Wellington provides the Recorders for Lanes 1, 4, 7; Team A provides Recorders for Lanes 2, 5, 8; Team B provides Recorders for Lanes 3, 6, 9.  Shift 1, Wellington provides the Recorder for Lane 10. Team A provides for shift 2 and Team B provides for shift 3.

A Timer and Recorder meeting is held before the start of the meet at 6:30 AM. Announcements over the public address system provide the meeting location.

HEAD TIMERS: Wellington will provide the 2 Head Timers for shift 1. Team A provides 2 Head Timers for shift 2, and Team B for shift 3. All head timers must attend the Timers and Recorders meeting.
